Privacy Policy
Your Information, Looked After Properly.
What we keep, why we keep it, who can see it and the choices you have.
Version 1.0 · 24 October 2026
At a Glance
We only ask for what we need to run the association and keep in touch with you.
To join, we ask whether you have lived experience of disability, and we keep your answer only with your consent. Everything else about your disability, health or ethnicity is optional.
Your details stay with the DSA. We never sell them, and we never pass them to Leeds United without asking you first.
You can ask to see, change or delete your information at any time.
The full policy below explains what we collect, how we use it and the choices available to you.
1. Who we are
All Leeds Disabled Supporters Association (ALDSA) is a supporter-led association for disabled Leeds United fans, their carers and families. ALDSA decides how the personal information in this policy is used, which makes us the “controller” under data protection law.
Until the founding committee is elected on Tuesday 3 November 2026, the organising group led by the acting chair is responsible for members’ information. From then on, the elected committee is responsible, with the Secretary acting as the day-to-day contact for data protection.

2. What we ask for, and why
| What | Why we need it | Required? |
|---|---|---|
| Your name, and what you like to be called | To know who you are and address you properly | Name yes, preferred name optional |
| Your pronouns | To address you properly | Optional |
| Email, phone and postal address | To contact you in the way you've chosen | Email yes, others optional |
| Confirmation you're 18 or over | To check you're eligible to join | Yes |
| How you'd like us to contact you, and any format you need | So our messages actually reach you and make sense | Yes |
| A carer or supporter's name and contact details | If you'd like them to deal with us for you | Only if you choose this |
| Your link to Leeds United (season ticket, membership, customer number) | Helps us understand our members and raise matchday issues | Optional |
| Your connection to disability and any access or communication needs | To give you the support and adjustments you need | Optional, with your consent |
| Your ethnic group | To check our membership reflects the whole Leeds fanbase | Optional, with your consent |
| Your newsletter choice | So we only send newsletters if you want them | Yes |
| Emails and messages you send us | To answer you and follow up | Only what you send |
| Basic website data, such as your device and browser | To keep the website working and secure | Collected automatically |
We will never ask you for a diagnosis, medical records or proof of disability.
If you don’t give us the details marked as required, we won’t be able to process your membership application. Leaving optional questions blank is completely fine.
3. How we get it
Mostly from you: through our membership form, our contact form, by email, by phone or when we meet in person. Sometimes a carer or supporter gives it on your behalf. If they do, we’ll check they have your agreement, and they should show you this policy.
4. The legal reasons we rely on
Data protection law (the UK GDPR and the Data Protection Act 2018) only lets us use your information when we have a valid reason. Ours are:
Running the association (our legitimate interests): handling membership, organising meetings and elections, answering questions and keeping our systems safe. We only do this where it doesn’t override your own rights and interests.
Your consent: for newsletters, and for any information about your disability, health or ethnicity.
The law: if we’re ever legally required to keep or hand over information.
5. Disability, health and ethnicity information
The law gives this kind of information extra protection, and so do we. We only use it with your explicit consent, and only for the reason we gave when we asked.
The membership question: to join, we ask whether you have lived experience of disability, either your own or as someone who cares for or supports a disabled person. Your answer can say something about your health, so we ask for your explicit consent to keep it when you apply. We don’t need any details.
Everything else is optional: questions about access needs, communication support and ethnicity can be left blank, and we only use your answers if you tick yes to consent.
You can change your mind at any time by emailing info@allleedsdsa.co.uk. Withdrawing consent for optional information won’t affect your membership. If you withdraw consent for the membership question, we won’t be able to keep your membership going, so we’ll talk it through with you first.
We report ethnicity figures only as anonymous totals, never in a way that identifies anyone.
6. Who can see your information
Only committee members and volunteers who need it for a specific job, such as processing applications or arranging adjustments for a meeting.
We also use a small number of trusted online services to run the association. They process information to provide their service to us, under their own terms and privacy notices:
Google (Forms, Sheets and Drive) for membership applications and records
Microsoft, through GoDaddy, for our email
Systeme.io to host our website
Our accounts with these services are held in ALDSA’s name and managed by the committee, not by any individual or outside business.
We may also have to share information if there’s a safeguarding concern, but only what’s needed to keep someone safe.
7. Leeds United and other organisations
ALDSA is independent from Leeds United. Joining us doesn’t mean we share your details with the Club.
If you want us to take up a personal issue with the Club or anyone else, we’ll tell you exactly what we’d need to share and with whom, and we won’t share anything until you agree. Saying we can contact you to ask is not the same as saying we can share.
The only exceptions are if the law requires us to share something, or if there’s a safeguarding concern and we need to share information to keep someone safe. Even then, we’ll share no more than necessary.
8. Newsletters
You’ll only get newsletters if you’ve said yes, and every one has an unsubscribe link. Unsubscribing doesn’t end your membership: we’ll still send essential messages, such as meeting notices. If you want to leave ALDSA altogether, just tell us.
9. Keeping it safe
Records are kept in password-protected accounts with two-step login switched on.
At least two committee members can access each account, so nothing depends on one person.
Passwords are changed and access removed when someone leaves the committee.
Anything downloaded must be stored just as securely and deleted when no longer needed.
No system is ever completely secure. If something goes wrong with people’s information, we’ll look into it straight away and tell anyone affected, and the Information Commissioner’s Office if the law requires it.
10. How long we keep it
Membership records: while you’re a member, and for 12 months after you leave.
Applications that don’t go ahead: 6 months.
Enquiries and emails: 12 months after the matter is closed.
Disability, access and ethnicity information: deleted as soon as it’s no longer needed or you withdraw consent.
Newsletter opt-outs: just your email address, kept so we don’t accidentally sign you up again.
When we delete something, we remove it from our records, including any downloads or copies we hold. Backup copies kept by our service providers are cleared on their normal backup cycle. Where useful, we may keep anonymous totals that can’t identify anyone.
11. Your rights
You can ask us to:
Show you the information we hold about you
Correct anything that’s wrong or incomplete
Delete your information, or limit how we use it
Give you your information in a format you can take elsewhere
Stop using your information where we rely on our legitimate interest
Stop sending you marketing, at any time
You can also withdraw any consent you’ve given. Email info@allleedsdsa.co.uk to make a request.
We may need to check it’s really you first, and we’ll reply within one month. Some rights have legal limits, and if one applies, we’ll explain.
No decisions that seriously affect you are ever made by a computer on its own. Committee elections happen in person.
12. Cookies
Our website may use small files called cookies to work properly and stay secure. If it ever uses optional cookies, such as ones that measure visits, we’ll ask for your permission first. Our membership form is run by Google, which has its own cookie information.
13. Need this another way, or not happy?
If you’d like this policy in large print, Easy Read, plain text or explained over the phone, or need help making a request, just ask. Email info@allleedsdsa.co.uk or call 07931 327941.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
14. Updates to this policy
We’ll update this policy whenever the way we handle information changes, and tell members about any big changes.
